Decided that we would have posters to hang up and give out, most likely A5 or A4, and Facebook events to advertise the Freshers events.
- Karen suggested having a different style for posters relating to the LANs and Freshers events.
Now have County Bar booked throughout the year on Tuesdays from 7 pm to 11 pm, Freshers’ Week included.
- Decided not to have a theme for the first County Social as to not mislead anyone as to what the Society is about.

Retro Theme
- Bomberman 1 Classic

Karen suggested that we give away prizes during the Freshers’ LAN.
- Committee responded stating that we should have the Discord swag and game codes to give away.
Josh stated that we wouldn’t be able to hand out paper forms to the Freshers to fill in that required any personal information.
Esports Games Tournament
Need to sort out bookings for the tournament.
Would need to ask Esports players on their thoughts on the tournaments.
Structure:
- Online or,
- One or two events per day – Ben in favour of this option
Karen stated that a large part of the tournaments being successful would be advertising the event properly
- Aiden suggested advertising on both Discord servers and creating posters
Kieran suggested that they could be online tools to create brackets
- Smash.gg has these tools available but would need to contact the website administrators
Decided to moderately space out the tournament either:
- Once every two weeks to hold smaller tournaments
- Once a month to host bigger tournaments
Karen stated that if the planning for the tournaments is good then the tournaments should work out
Games played during the tournament would include:
- CS:GO
- Overwatch
- Hearthstone (No Epic, no Legendary)
Two of the above games being run simultaneously for the smaller tournaments.
Creating brackets would need to be done after we have the total number of contesters.
Need to sort out starting times and venue/set up.
- Considering starting around 2 pm sometime in Week 2.
Decided that we would need to moderate some of the games.
- Aiden suggested having a FAQs channel on the Discord for this.
- Ryan suggested an Introduction & Rules section on Discord.
Decided to make social media posts about the 1v1 tournaments.
Kieran might be able to stream the games but it was suggested that the Esports Co-ordinators should also be there.
Considered applying for Twitch Student to gain benefits such as front-page features but we currently don’t reach the criteria for this as we currently do not stream frequently enough
Discovered a potential issue with paying for tickets as UnionCloud takes up to two weeks for funds to reach the society but decided that we should be able to manage prizes during that period.
Decided to try and arrange a follow-up meeting to discuss our new Esports logo design.
Esports Training
Aidan asked if the training would be online or in-person.
Aidan suggested having the coaching sessions organised by the Esports teams, with the Committee giving the teams the go-ahead.
Aidan suggested advertising the training sessions to people who need it.
It was elaborated that the training would mainly be for people new to the game(s) in question.
Karen suggested that creating a coaching application to make the coaches official.
Kieran suggested that perhaps coaching is another way of asking for more structure for the Esports players from the Committee.
Questioned how coaching try-outs would work.
- Could coach the A-Team to see how the coaches would work.
16:14 – Katie left (explained)
Need to clarify what the coaching would entail for members as this is potentially being done already.
Decided to ask the Student Union about travel for funding for Esports events.
Ben asked to know more about the various events that Esports members are interested in.
Community Cast
Kieran decided to have the next Community Cast episode recorded next week (commencing the 23rd) using the same format as before with potentially two more Committee members.
Kieran stated that he would also like to have previous Committee members on the podcast and upload the video to Youtube.
Modded Minecraft
Suggested having Skyblocks but Ben stated that it would be resource-intensive.
NUEL
Karen suggested that we try to cater more to the demographics that we don’t have.
Karen suggested that we also should prioritise planning events more.
Karen also suggested that the Committee should have more effective posters.
- Decided to redo the LUGES Branding guide to be more colourful but still consistent.
Karen suggested talking the Union more.
Karen also suggested getting more feedback on what people go to events for, what they do and if they are enjoying themselves.
Karen also suggested that the Committee spread out more during LANs and other events.
Karen suggested streaming off of other PCs using Parsec
- This could allow us to get multiple cheaper laptops instead of getting one more expensive laptop.
Ben asked if, under the new County Bar setup, we would have members book the PC section in County Bar.
- Kieran responded by saying that this would not be necessary as the games being played in this section would be mainly casual.
16:41 – Meeting End
