Minutes

18:34 Meeting Start.

18:35 – Considering only having one LAN per term that lasts for 30 hours as a focus on quality over quantity.

18:37 – Need to encourage people to stay overnight at the LANs. Considered improving the planning of the LAN and a potential restructure of LAN events.

18:39 – Might poll the members of the Society to see what events they would be interested in playing at the second Summer LAN.

18:41 – Considering creating more “social” events such as a LUGES dinner/meal. This includes pub quizzes and quizzes at socials but would need to re-evaluate how they are structured, Committee feedback states that the questions are too hard/niche.

18:43 – Need to increase member retention rate. Considering having more social events with other societies, similar to the LU Mental Health social, having a more casual attitude.

18:45 – Decided that the focus on Smash is too heavy in the Society, need to focus on other games that people are interested in such as Rocket League.

18:48 – Need to create more casual tournaments as at the moment, Committee feedback states that the current tournaments are too intimidating.

18:49 – Renaming Pendle Rockband Social to Pendle Games Night to highlight that Rockband is not the only game available to at these Socials. Also hoping to get more involvement from other societies such as the Lancaster University Manga and Anime Society, LUMAS.

18:53 – Committee feedback and member feedback states that the Community Rep system and, by extension, the role of the Community Officer are not working as intended. Considering removing both.

18:53 – Freshers Fair was popular but interest quickly died after the event.

18:56 – Need to re-evaluate Committee interest in the Society. Considering bringing in third-party help form the Union to help deal with this issue.

18:57 – Member feedback states that County Socials are boring and lack engagement with nothing to do. Considering bringing a wider variety of games to the social as something for members to do other than conversation.

19:00 – Committee feedback states that certain members would be more interested in LANs if there was a more competitive aspect to the events present. Considering taking this into account during the next LAN.

19:03 – Member feedback states that an event similar to the County Social should be held by the Society at the beginning of the year during Freshers Week as an “ice-breaker” for new and potential members of the Society.

19:05 – Considering having a strict schedule at the first LAN of during Freshers Week this year, organised in such a way that people that are interested in the same events arrive at the same time. Considering partially implementing this idea so that the LAN does not feel too structured to the new and potential members.

19:08 – Decided that Committee need to respond to Society related messages on Discord. Also decided that the Committee group chat should not be spammed with messages and media unrelated to the Society.

19:12 – Considered if the current Committee size is too large.

19:13 – All forms for the summer teams are complete, but still waiting on confirmed teams for Dota, Overwatch and potentially CS:GO and Hearthstone. League of Legends teams have been confirmed.

19:17 – Need to start forming the Risk Assessment form for the LUGES Annual BBQ as well as planning the BBQ.

19:19 – Decided to try and have a bigger social media presence on Facebook, Twitter, Instagram, Discord and Reddit.

19:24 – Considering have a gaming news thread on the Society subreddit.

19:25 – Have been offered to do a game arena type event with UCLAN by GAME in Preston. Considering it as a possibility for next year during Freshers’ Fair as a once-off event.

19:29 – Need to promote Alton Towers trip more, currently on 21 out of 57 tickets sold.

19:30 – Considering having more events with the Lancaster University Chinese Students and Scholars Association, LUCSSA.
