18:36 – Meeting Start

James began by stating that he has gotten the following quotes from Promotional Gods:

  • Zip Hoodies:
    • Embroidered (on the front), Transfer-print (on the back): £30.07 per hoodie.
    • Transfer-print only: £26.95 per hoodie.
  • Pull-over Hoodies:
  • Embroidered (on the front), Transfer-print (on the back): £26.38 per hoodie.
  • Transfer-print only: £23.26 per hoodie.

The Committee agreed that the embroidered would be better as transfer-print would peel away over time.

James stated that he got a quote of £400 for 30 hoodies.

When asked why the Committee does not use the same provider from previous years, Mo responded that it was because of an issue regarding the material used by the previous providers.

Katie suggested that the Committee keep their options open, also stating that the current hoodies aren’t that bad.

  • Katie suggested taking over hoodie quotes for James and it was agreed that Katie would do this.

Rockband bookings

  • Regarding Pendle Bar bookings for next term, the Committee suggested having the Pendle Social on Thursdays instead of Wednesdays.
    • Katie suggested using the Rockband Social as a replacement for the County Social.
    • Katie agreed to message Pendle’s JCR.

County Socials

  • Katie stated that the Tuesday socials are not popular with the membership, with the feedback corroborating this point.
    • Katie stated that the main issue with County Socials is that there is “nothing to do”.
  • According to feedback, the membership seems to want options other than Super Smash Bros. during socials.
  • James stated that people only play what they are already familiar with.
  • It was stated that the last time socials were fun was during the “board-game” phase of the Society.
    • However, bringing back board games wouldn’t be an option for the Society as the Society would then lack an identity and be confused with Senet.
  • The Committee noted that most of the people that go to County Socials only go to the social to play Smash Bros.
  • James suggested monitoring what everyone plays during socials.
  • Katie stated that total turnouts for the County Socials are low if the Committee and Smash players aren’t counted.
  • Katie stated that she liked the Retro Mario Kart social that the Society had previously.
  • Ben stated that the main appeal of being in a bar is having a drink and socialising and that this would not change regardless of the events that are being hosted on a particular week.
  • The Committee decided to ask the membership what they dislike about the County Social during the AGM.

Sonic Social

  • The Sonic the Hedgehog movie comes out on the 14th of February. The Committee suggested having a themed event on this day.
  • Katie suggested having the social on Saturday the 15th to which Josh disagreed.
    • Katie suggested having a poll in the Discord server to see what day the membership would prefer.

Water Witch Social

  • The Committee suggested having another Water Witch sometime Week 18, Thursday, 7:30 pm.

Inventory

  • Ben stated that he would print out labels for Society equipment to be used for the inventory.

Senet Social

  • Jess, the Senet Social Secretary, said she wanted to have a joined social with LUGES although the Committee are not aware of what this social would entail.
  • Ben suggested that James talk to Jess about the nature of the social.

AOB

  • There still seems to be complaints regarding a member, Member A, of the society and another member of the Committee. The Committee was unsure as to what actions Member A would like taken against the Committee and/or that particular member of the Committee.
  • The money from FRIENDS funding still hasn’t reached the Society’s bank account.
  • Josh suggested having a vote on the unfilled roles on the Week 17 LAN instead of the AGM to prevent people that don’t particularly want to run for a role from running.

AGM Motions

  • Motion to allocate 50% of the total budget to be set aside each year until we get a DDR machine.
  • Motion to, in addition to re-opening nominations for all non-essential Committee members (as defined by The Union), have the poro as a candidate. If the poro were to win, the poro takes office and can be removed by a VNC.
  • Motion to reopen the “looking-for-game” channel on the main Discord Server to non-members.
  • Motion to unlock the [something] community channels.
  • Motion to ban anime.
  • Motion to ban bans.
  • Motion to change the official logo for luges into a dancing cockroach.
