Jack welcomes everyone

Sam requested much of this agenda

Bank stuff

James asks if there is a more straightforward way to do bank signatories handover than the standard procedure.

Josh states that there isnt as the bank has remained open during lockdown.

Jack requested to postpone this part due to Katie absent.

Do we have sufficient evidence to launch an official complaint to LUSU about individual toxic members

Member A recently caused issues with LUGES, enough to issue a complaint. If Member A rejoins the society in the upcoming year, we will revisit this.

Sam claimed Member B had said questionable things in Discord, making a lot of people uncomfortable.

Jack says Member B is less trouble than Member A.

Josh says Member B is not as bad as people think.

No action taken on Member B

Online socials for first term idea plan, need suggestions from members.

Jack asks everyone for ideas for possible online socials

Josh is unsure if in-person socials will be a thing, it is still very much in the air

Henry says that Mario Kart tournament could be done again

James says that previously stated Switch Online issues are a problem

Jack suggested asking the members what they want. Requesting publicity to make a post about this.

James stated that on A-Level results day, we would open the discord server to everyone, and posts will be made.

Sam recommends people to talk bout their favourite games.

Jack suggests requesting people to use the game request channel on Discord to give us ideas. Again. 

Jack asks if anything can be done to promote that

Henry suggests each exec member chips in suggestions, then having non-exec members voting on these suggestions

Rhys says it depends on how we can run these suggested games, if it is online, then it is easier.

Jack says we can come back to that when the first term is more certain

Rhys suggests GMod again

James replies saying that setting up a server is a problem

Rhys says that apart from summer seasons going on right now, nobody from LA1 TV got back to him regarding friendly commentary. Apart from when LA1 TV seemed confused to hear from him, asking who mentioned this before. They responded a month ago saying that they would ask around, no reply since.

Jack advises Rhys to message them again to get a response.

Katie is not present to give details on the first person to suggest.

Summer Seasons are small fun seasons that we don’t have many teams competing in.

Rhys removed the patch bot (patch notes from games posted in esports server).

Discord (temp member channels dead? opening the Discord for freshers)

Jack and Josh think that the Discord Server should be open to all.

James asks what happens for discipline

Josh says we can still ban. Booting non-members if any discipline needed.

Sam suggests using current disciplines for non-members as a baseline.

Rhys starts and then loses track of his point

General Consensus is to open the discord server completely.

Henry asks about having a messenger group chat

General consensus is that it is a terrible idea as stated before

Jack states temp member channels are dead

Josh says if we are opening the server, then there is no point in having them

General consensus is to remove temp member channels

Josh states it is still good to have a temp member role, just to @ them if they have @everyone muted.

Only reason temp member was added this year was due to pandemic.

Equipment plans

Josh asks if anyone got the laptop bags

Jack said he can’t remember

Jack is paranoid if they have not been collected

Josh says they are most likely either in LUSU storage or our storage

James does not want anyone to say they want a DDR machine

Sam asks about rockband equipment

Jack and Josh states that the storage bags for rockband is terrible

General consensus to invest in new bags and similar storage

Sam suggests getting quotes in summer to make sure that it’s done and out of the way

Henry suggests dance mats

Everyone gives their previous bad experiences of dance mats (apart from Josh and Henry)

James asks about VR setups

Josh doesn’t think it is worth it

Jack suggests we can ask the people what they want

James suggests having events (or sub-events) for VR

Sam says people don’t want to wait around

James says don’t make it the main event

Jack suggests asking the people. Because we are shutting this down too quickly.

Everyone jokes about google cardboard.

Rhys says that VR is not something that many people own. Therefore, this is a unique experience for gaming that we can provide, making joining LUGES potentially more attractive.

Advice on running the FB page for new exec members

Sam says that the page is a bit misleading if someone ever asks to join or message, then she doesn’t know what to do. Suggestions for having instructions written down to guide new exec on how to operate the FB page along with useful contacts.

James states that he knows how to operate.

James states what Katie previously said: to let people into the FB page if they are from Lancaster and have answered ALL of the questions.

Jack is for having written instructions about how to operate the FB page

General Consensus of having a list of instructions

James iterates that he was never told how to operate social media, so he also supports this

Hoodies updates/resurrection

James states that he halted the hoodies process for now.

James asks when we want to restart.

Jack wants to leave it until term starts and get the exec hoodies first, then ask other members if they want a hoodie.

Jack states this should be essentially skipping a year and ordering hoodies for the upcoming year

Henry asks about community hoodies

Josh states that communities are dead

Henry wants to resurrect them

Jack reiterates to get exec hoodies sorted first

James suggests having the exec hoodies sorted starting now as we know what to order

Jack asks about redesigning

James asks if anyone complained about hoodies

Josh said one person complained, but can’t remember who

Henry said he was sent LUGES rebranding, ideas for other logos.

Jack doesn’t like the idea of rebranding

Jack states the esports logo is relatively new.

General Consensus is to keep the current hoodie design.

Sam made fresh looks for the LUGES docs

Sam presents fresh looks for the LUGES documentation

Josh points out the low-quality logo

James states where to find high-quality logos

General Discussion on the word “fresh”

Josh states that adding fresh looks to the LUGES constitution wouldn’t be suitable, as it gets changed very often, and rarely anybody reads it.

General Consensus to add fresh looks to Documentation and Discord Rules files, as they are unlikely to change much.

Update the website

Jack is aware of the website broken on mobile. Dropdown menu doesn’t work; Jack will work on fixing it.

Jack comments that he hates where he lives right now.

Jack has been supplied with files to fix the website on mobile.

James states that he has done a quick update on the website, updating certain pages to relevant information

Jack states that he doesn’t have a lot of experience with CSS, recommending asking another member with the expertise to fix the website

Henry asks about adding introductions for exec members to make the website more engaging.

Jack suggests waiting until the website is fixed before adding extras.

Katie sent some information about ad/sponsor wanting to advertise information to STEM graduates where they would be directed towards jobs later in life

Katie is absent and unable to give further needed information.

Jack says we might take a look when Katie is here

General Consensus is that nobody knows what is going on in this message.

Henry asks to clear something up, asking about problems with members, some things said in the discord server.

Josh says that rules have not been broken where Henry directed.

Josh asks about deleting old GM channels

James says transferring minutes from Discord to text file is a right pain.

Jack remembers that channels can be exported to a text file, making it easier to move minutes to the website.

Josh states that after this, the GM channels can be deleted.
