Conference technology

Similar to 2021 the conference will take place fully online, using a conference presentation website (this website) and a separate MS Teams site (referred to as ‘Teams’ from now on). Links will be provided on both the website and Teams to enable you to navigate between the two sites. To get to the conference Teams site from this presentation website, click on the red ‘go to conference’ button present on every page, or follow the highlighted links provided in the text. A similar navigation tool and links will be provided on the Teams site to enable you to access the presentation website.

What is on each platform, and how should I use them?

The conference presentation site (this site). This is where the undergraduate student presentations are hosted. To view the presentations, open the presentation section and scroll down, or search by presenter name or broad academic discipline. You will also find a conference programme and general conference information in the menu on the left hand site of the home page.

The 2022 UG conference MS Teams site. As a conference delegate, presenter or support team member, you will be enrolled onto the 2022 UG Conference Teams space. The conference will use Teams for both the static and live sessions. On the Teams site you will find a general information channel, which holds the details of the conference programme and other general information. There is also a channel for each of the three conference days, containing details of the day’s programme and the session links for that day’s event.

 

Conference general information

The conference is open to all the Lancaster University Partner UG students, registered on a Lancaster University course. You must be eligible and have formally registered for the conference to be able to join the conference Teams site and view the presentations website.

The conference will take place over three days, from Tuesday 15th March to Thursday 17th March 2022. The programme details all of the events and times during the conference. Events are scheduled for between 9am and 12.30 UK time to supports all campuses from different time zones to come together across the globe.

 

Code of Conduct

The conference adopts a zero tolerance to bullying, harassment, discrimination & sexual misconduct. Any instance will be investigated and where necessary, disciplinary sanctions used. Further information can be found on the Institute for Curriculum Enhancement (ICE) website and you will be asked to sign to accept conditions when you register.

 

Conference Photography, Publicity and Recording

Parts of the conference will be recorded, including the talks, events and comments made by participants. Conference registration & attendance acknowledges you are aware of this and agree to be recorded. This recording will be kept for 2 years & may be used to promote similar future events.

 

Data Privacy Notice

The UG Conference supports and adheres to Lancaster University Student Privacy Notice.  When you register for the conference we collect personal information from you such as your University contact details, your institution and department of study. We will use this information for conference administration and the statistics derived from it for marketing and publicity. We do not and will not share or sell any of your personal information to anyone outside of Lancaster University including third parties, unless required to do so by law. Your information will be securely stored within Lancaster University’s systems and will be retained for 2 years. You have certain rights regarding your own personal data, please refer to the Student Privacy Notice and the Rights of the Data Subject webpage for further details. It is your responsibility to make yourself aware of and understand the Privacy Notice.

Website open access

During the conference 15th – 17th March 2022 the conference presentations are accessible to Lancaster University Partners students and staff only. Following the close of the conference (17th March 2022) the main presentation website will become an open public site for 2 years. This opening of the website allows all undergraduate research presentations to be accessible to the public audience for presenters to gain full recognition for their work. Only the conference presentation site will be made public, none of the comments, conversation or discussion undertaken during any part of the conference week will be made public. If presenters do not wish their presentation to be made public after the conference week, they should contact the conference organisers, who will remove it prior to opening the website.

 

Conference feedback

This year is our 2nd global online UG Conference and we hope with your feedback we can improve it for the future. To help us, at the end of the conference, we will be asking for your feedback. This will help us when we are planning the next UG Conference. This will take the form of a short survey, but if you prefer please send your comments to the email ugconference@lancaster.ac.uk. All your ideas, suggestions and comments are welcome, and we also welcome volunteers to help with next years conference.
