As always our main priority is the safety and comfort of our customers and staff so we are still here to provide you with a bespoke service whilst following Government advice. Below are some of the changes we are making to enhance and protect you and your event.

Adapting our spaces

To ensure the 2-metre social distancing rule is in place we have re-designed our room capacity to make sure you feel comfortable during your event. Lancaster University Conferences & Events+ can still provide meeting rooms with capacities up to 100 delegates and can also link meeting spaces via video to deliver to even larger groups.

Outdoor Spaces

Our Forrest Hills venue is the perfect venue offering a unique space, service and a peaceful setting with plenty of outdoor space for your event.

Social Distancing

We understand that guidance on social distancing is changing frequently. However, we have planned for a 2-metre separation and will have instructional signage throughout our venues to guide you. There will be facilitated entry and exit to avoid the congestion of people. Staff and delegates are to wear face coverings in all public areas, delegates are not required to wear a face mask whilst eating and drinking.

We are also supporting the NHS Track and Trace System.

Contact Free Services

With social distancing in place for the foreseeable future, we will find and source excellent digital solutions in order for you to make the most out of your event.

· Lancaster Conferences+ uses the ‘Janet Network’ a reliable, secure network system, ensuring you can stay connected digitally which is more important now than ever. This service is also complimentary.

· We have hybrid and virtual solutions available via our in-house digital team. Please contact us so we can understand your individual requirements and suggest the best solution for you.

· The Lancaster Conferences + app is a great way for you to give delegates all the information they may need whilst avoiding any non-essential equipment such as a sign-in sheet and printed agendas.

Cleaning and Hygiene

An increased cleaning rota will be in place to ensure all meeting areas are having a regular deep clean to minimise any risk. We will regularly wipe and disinfect high-touch areas such as door handles, light switches, tables, chairs and AV equipment.

Sanitising

There will be a hand sanitising station for all customers to use on entry into the venues and meeting spaces along with individual bottles in each meeting room.

Training

All staff will receive the appropriate induction and there will be training in place to ensure compliance with safe systems of work designed to keep staff and customers safe. This includes a cleaning checklist and how to correctly wear PPE.

Guest Rooms

We have made changes to our service to enhance your experience and to ensure we are supporting your personal wellbeing throughout your stay. These changes include;

· All non-essential removable items have been taken out of the rooms such as comment cards, brochures, bed runners and decorative pillows.

· We have introduced a new check in procedure to reduce contact.

· Room keys will be sanitised prior to arrival.

· We are undertaking even more stringent cleaning measures focusing on all hard surfaces and touch points such as light switches and door handles.

· Our bedrooms will be offline for a set period so we can meticulously disinfect between guests.

Food and Drink

Providing guests with excellent hospitality is something Lancaster University Conferences & Events+ takes pride in. We have been working hard to ensure you still receive this service, yet also contact-free. However, we will continue to monitor the situation in line with government guidelines in order to resume our usual service as soon as possible.

All food will be prepared safely and individually portioned by our chefs.

Food will be pre-boxed for you in environmentally sourced disposable items. Cutlery and condiments will also be individually wrapped and portioned per delegate.

Tea and Coffee will be served by the conferences team whilst observing strict safety guidelines and social distancing rules.
