Customer Relationship Management

At Lancaster University, we use a Customer Relationship Management (CRM) system to enhance the student journey. A CRM is generally used to manage data and information associated with building and cultivating relationships with customers, or in our instance with enquirers and applicants. This page will help you find out how this system can be used to help you engage with prospective students, applicants and offer holders.

SRCRM Emails to Enquirers

Enquirer email requests – Please send your request to Marketing Services at marketing-office@lancaster.ac.uk.

Event related emails – For all event related emails including invites and follow ups please contact studentrecruitmentcrm-support@lancaster.ac.uk. Please note a standard follow up email will be sent the following day after the event. The only time we can send an alternative follow up is if we’re sending out a recording of the session, or if there is anything event specific they will be expecting. If an event follow up is requested, the registrants will no longer receive the standard follow up email.

If your event is part of a larger coordinated event, eg. a Taster Week, all information for the entire event series should be collated first before requesting any SRCRM email communications. Conversion emails – Conversion emails that are not classified as legitimate interest, should be sent via Campaign Monitor using the conversion client. If you have any queries relating to this process, please contact Marketing Services at marketing-office@lancaster.ac.uk.

Hosting Recruitment and Conversion Events

The SRCRM allows a booking page to be created to register for an event and ensure those booked on are sent the appropriate joining information. This also ensures that registration data is kept on a University approved client and appropriate data security measures are in place. All digital student recruitment and conversion events must be run via the SRCRM. For internal or non-recruitment or conversion events, please see the Libcal Event Calendar page.

To upload data, please download our CRM Data Upload Template.

All data must be cleansed in line with our Data Import Guidance before you submit it to be uploaded to the CRM.

The SRCRM Team can offer you help and support with this process, please contact us for assistance.

Data Reporting using Tableau

You can check your event booking numbers using the Tableau SRCRM Events Dashboard. These dashboards update regularly and events will only show once they have at least one booking. Guidance how to use the Dashboard is provided at the above link as well.
