Events Cancellation and Covid Policy

Our Events Covid statement

While some of the rules the UK government had introduced during the Coronavirus pandemic were removed on 19th July 2021, we will continue to have measures in place to help guests attending our events protect themselves and each other.

The following guidance is designed to help keep you and those around you safe, so we respectfully ask you to follow this guidance if you can.

We encourage you to:

  • Use the hand sanitisation stations that are provided in events venues.
  • Bring a mask to wear in indoor spaces, if you are able to wear one.
  • In indoor areas, keep a distance from other guests where possible.

In advance of your visit, we will ask you to let us know about any particular requirements or adaptations that you need. Please ensure that you respond when asked so that, where relevant and possible, we can take this into account when planning the event.

In the event of cancellation by an alumni/participant the fees paid to participate in the event/activity will be refunded in accordance with the following terms:

  • Cancellations received up to (and including) 7 working days prior to the event will be refunded except for the Eventbrite fee which is non-refundable.
  • For cancellations received less than 7 working days before the event there will be no refund.

Cancellation of attendance by individuals or groups, must be given in writing and received by the Alumni Office in writing to Development and Alumni Office, Lancaster University, University House, Lancaster, LA1 4YW, by email to alumni@lancaster.ac.uk. Those who fail to attend or cancel their attendance within 7 working days of the event, for whatever reason, will not receive a refund.

In exceptional circumstances other refund arrangements may be considered.

Lancaster University reserves the right to cancel an event or any associated function at its sole discretion. In the event of such a full refund will be made. The University expressly excludes any liability for any direct or indirect losses or damages howsoever arising as a result of such cancellation and will not, for example, be responsible for any travel or accommodation costs incurred.

In the event of cancellation, the University will use reasonable endeavours to alert those who have booked to attend an event and details of any cancellation will be posted on the alumni website. Attendees are responsible for checking this information prior to the event.
